Access rights

In brief: Access rights in PIM determine who can view, edit, approve or export which product data. All PIM systems offer permissions management so multiple users can work simultaneously without overwriting each other’s changes.

How permissions are assigned in PIM

Permissions are usually assigned through roles and user groups and can be restricted at a granular level:

  • By area: for example, only specific categories, brands or catalogues,
  • By attribute: for example, technical data only for product management, text only for marketing,
  • By language: translators can only view and edit their assigned language,
  • By action: view, edit, approve, delete, export.

Why access rights matter

The more people work in a PIM system, the more important clear responsibilities become. Permissions prevent users from accidentally changing data they are not responsible for, while locking prevents two people from editing the same record at the same time. Together with workflows and versioning, they form the foundation of data governance. External partners such as suppliers or agencies can access only their own data through portals.
